SmartAcc VN App Privacy

1. Introduction

This Privacy Policy explains how SmartAcc VN ("we", "us", "our"), operated by HV Tech, collects, uses, and protects information when you use the App.

SmartAcc VN is a bookkeeping and tax-filing service designed for Vietnamese household businesses (Hộ Kinh Doanh) and small-and-medium enterprises.

2. Who can use this App

The App is intended for owners and authorized staff of Vietnamese household businesses and SMEs that have registered for the SmartAcc bookkeeping service. Accounts are typically created by SmartAcc upon service registration. Public free sign-up may also be available.

3. Data we collect

We may collect the following types of data:

A) Account / Identity

Username, password (stored hashed)
Full name, email address, phone number
Business name, tax code (Mã số thuế), business address
Authorized representative information

B) Business and financial data

Sales transactions, purchase invoices, expense records
Inventory and product information
Customer and supplier contact lists you create in the App
Cash book, bank book, and other accounting records
Tax declarations and electronic invoice data

C) Camera and photo library (with permission)

Camera access to capture photos of paper invoices, receipts, and products.
Photo library access to upload existing photos of invoices or receipts.
The App only accesses the camera and photo library when you actively use these features.

D) Location (with permission, optional)

Approximate location may be used to tag the location of business transactions or store branches.
Location is accessed only when you grant permission and is optional for using the App.

E) App analytics & diagnostics

Crash reports, performance data, and basic usage analytics through Google Firebase (Crashlytics / Analytics), such as:
- device model, OS version
- app version
- crash logs and diagnostic information
- non-sensitive usage events (e.g., screen visits)

We do not sell personal data.

4. How we use your data

We use data to:

Provide app functionality, account authentication, and access control
Record and process bookkeeping entries and accounting reports on your behalf
Prepare and submit tax declarations and electronic invoices to the relevant Vietnamese tax authority on your behalf, when authorized by you
Enable camera-based features for capturing invoices and receipts
Provide customer support and respond to inquiries (including via Zalo, email, hotline)
Monitor stability and improve the App (Firebase diagnostics and analytics)
Maintain security, prevent misuse, and comply with legal obligations

5. Data sharing

We may share data only with:

Vietnamese tax authorities (General Department of Taxation – Tổng cục Thuế, and local tax departments) — for the purpose of tax declaration, electronic invoice issuance, and reporting required by law, and only on your behalf as your bookkeeping service provider
SmartAcc certified accountants and bookkeeping staff employed or contracted by HV Tech, who maintain confidentiality obligations
Electronic invoice (e-invoice) providers licensed by the General Department of Taxation, for issuing legally valid invoices
Google Firebase (as a service provider for analytics and crash diagnostics)
Cloud hosting and infrastructure providers used to operate the App securely
When required by Vietnamese law, court order, or government request

We do not share data with advertisers. We do not sell, rent, or trade your personal or business data.

6. Data retention

Bookkeeping records, invoices, and accounting documents are retained for the period required by Vietnamese accounting and tax law (typically up to 10 years), even after you stop using the App.
Account information is retained while your account is active and for a reasonable period after closure to comply with legal and operational obligations.
Analytics and diagnostic data collected via Firebase is retained according to Firebase default settings and policies.
You may request deletion of personal data that is not required to be retained by law.

7. Permissions & your choices

You can control permissions at any time in your device settings:

Camera: you can allow or deny camera access. Required to capture invoices and receipts.
Photo library: you can allow or deny access. Required to upload existing invoice/receipt photos.
Location: you can allow, deny, or allow only while using the App. Optional.
Notifications: you can allow or deny push notifications.

If you deny permissions, some features may not work as intended.

8. Your rights

Subject to Vietnamese Personal Data Protection regulations (including Decree No. 13/2023/NĐ-CP), you have the right to:

Access and obtain a copy of your personal data we hold
Correct inaccurate or outdated personal data
Withdraw consent for optional data processing
Request deletion of personal data not subject to legal retention requirements
Lodge a complaint with the competent Vietnamese authority

9. Security

We use reasonable technical and organizational security measures to protect data, including encryption in transit, access controls, and secure storage. However, no method of transmission or storage is 100% secure.

10. Children's privacy

The App is intended for business operators and is not directed to children under 13. We do not knowingly collect data from children. If you believe a child has provided us with personal data, please contact us so we can delete it.
